Call volume

How many calls per month does Capacity handle for you. A solo shop fielding 80 calls in a normal week and a multi-location operation fielding 187 calls in a peak day don't need the same capacity, and shouldn't pay the same.

Capabilities deployed

Inbound call handling alone, or full deployment with outbound lead follow-up, multi-channel SMS and chat, dispatch-board integration, maintenance renewal campaigns, warranty coordination, and review collection. More capabilities, more value, higher cost.

Integrations

Standard integrations (Google Calendar, ServiceTitan, Housecall Pro, Jobber, FieldEdge, Twilio) are included. Custom integrations into a homegrown dispatch system or an unusual tech stack require setup work quoted separately.

If Capacity doesn't pay for itself, we shouldn't sell it to you.

The math we run before quoting any HVAC shop: how many calls are you missing right now, what's your blended average ticket, and what's the annual revenue concentration in peak season. A residential HVAC shop with a blended $500 average call value recovers the full monthly cost with a single service call per month, and most shops recover five to twenty calls per month within the first 60 days.

The bigger lever is peak week. A single missed replacement call in July costs $8,000 to $15,000. If Capacity catches one of those across the peak season, the full year is paid for several times over.

If your call volume is too low for the deployment to make financial sense, or the integration scope doesn't justify the setup, we will tell you upfront. We'd rather lose the quote than sell something that doesn't pay for itself. You'll hear the prototype first, we'll run the economics with you second, you decide third.

What most HVAC owners ask about the money.

How much does Capacity actually cost per month?

Most HVAC shops pay between $400 and $2,500 per month, billed flat monthly. Solo shops with inbound-only coverage typically pay $400 to $700. Established residential and light commercial shops with full inbound plus outbound, dispatch integration, and review collection typically pay $900 to $1,500. Multi-truck and multi-location operations with full deployment, warranty automation, and high peak-week call volume pay $1,800 to $2,500 or more depending on scope.

Are there setup fees?

No setup fees for standard deployments. The monthly subscription covers initial configuration, training on your shop, voice setup, R-454B customer-conversation calibration, and standard integrations with Google Calendar, ServiceTitan, Housecall Pro, Jobber, and FieldEdge. Custom integrations into non-standard systems are quoted separately.

Is there a minimum contract?

No minimum contract. All deployments are month-to-month. Cancel with 30 days notice for any reason, no penalty. Forward your number back to your original setup and you're done.

Do I pay more during peak season?

No. Flat monthly pricing means your July invoice matches your April invoice. This is deliberate and it's the single biggest structural difference between Capacity and per-minute answering services. Your peak week is when Capacity earns its keep. Charging more for it would be backwards.

How does this compare to hiring a CSR?

A full-time CSR in the HVAC industry costs $30,000 to $40,000 per year before benefits, and covers roughly 40 hours a week. Capacity at mid-tier pricing of $10,800 to $18,000 per year covers 168 hours a week, handles unlimited concurrent calls, and doesn't call in sick on July 4th. The math favors Capacity once call volume exceeds roughly 40 calls per month, and the gap widens dramatically at peak.

Does pricing change if I'm outside the United States?

Pricing is quoted in USD but local billing is available for shops in the United Kingdom, Canada, and Australia. The service itself works identically across English-speaking markets. Regional refrigerant regulations, HVAC vocabulary, and regulatory frameworks are configured per deployment.

What if Capacity doesn't pay for itself?

Then cancel. You're month-to-month, no penalty. We also run the economics with you before quoting. If your call volume is too low or your integration scope doesn't justify the setup, we'll tell you upfront rather than sell you something that doesn't pay for itself.
